The Atacama Large Millimeter Array (ALMA) is an international astronomy facility. ALMA is an equal partnership between Europe and North America in cooperation with the republic of Chile, ALMA is founded in North America by the U.S. National Science Foundation (NSF) in cooperation with the National Research Council of Canada (NRC) and in Europe by the European Southern Observatory (ESO) and Spain. ALMA construction and operations are lead on behalf of North America by the National radio astronomy Observatory (NRAO), which is managed by the Associated Universities, Inc. (AUI) and on behalf of Europe by ESO.

 

ALMA will be a single instrument composed of up to 64 high precision antennas located in the commune of San Pedro de Atacama, II Region, Chile, at 5000 meters above the sea level. Its primary function will be to observe with unprecedented clarity the enigmatic cold regions of the Universe, which are optically dark, yet shine brightly in the millimeter portion of the electromagnetic spectrum.

ALMA Position: Personal Assistant

 

PURPOSE AND SCOPE OF THE POSITION

Please summarize the thrust of this position, outlining the main areas of work. You may want to say a few words about working context, i.e. the core responsibilities of the particular working unit. Please specify to what position this person will be reporting.

The successful candidate will be part of the Director Office.
The PA to the Director is responsible for organizing and running the office of the ALMA Director, in an Administrative and Secretarial capacity. Main task include: assistance to the ALMA Director and his team, in executive and secretarial matters, such as drafting, typing and distributing reports, confidential documents and general correspondence: using office automation tools and technology. Also in charge of coordinating and arranging travel and work schedule, conferences and meeting for the Director’s Office with special attention to the ALMA Board Meeting and their logistics, locally and internationally, as well as the other Board Committees where the Director participates.

Also responsible for maintaining calendars producing meetings agendas and minutes, receiving visitors’ logistics; planning and maintaining a detailed filing and document management system; preparing and monitoring purchase requests and overall budgeraty activity related to the Director’s office.
Important point of contact and liaison, between the ALMA Director and local/international ALMA partner organizations, media, authorities and general public interested in ALMA.

DUTIES AND RESPONSIBILITIES

PROFESSIONAL REQUIREMENT / QUALIFICATIONS

Fully Bilingual Executive Assistant with more than 5 years of experience at a high level of responsibility position.
Experience at an international organization is a plus.

DUTY STATION:

Santiago of Chile, eventual travel to the ALMA site near San Pedro de Atacama
